What Is a Functional Capacity Assessment and Why Might You Need One?

If you’ve come across the term Functional Capacity Assessment (or FCA) while navigating the NDIS, you might be wondering what it actually involves and whether you or someone you care for needs one.

As an occupational therapist working in the community and NDIS space, I complete functional capacity assessments regularly to help individuals access the right support, services, and funding. In this post, I’ll break down what an FCA is, when it’s needed, and what to expect from the process.

What is a Functional Capacity Assessment (FCA)?

A Functional Capacity Assessment is a detailed report prepared by a qualified health professional usually an occupational therapist that outlines how a person manages everyday tasks in their life. It looks at a person’s functional capacity, which means their ability to do things like:

  • Showering and dressing

  • Cooking and preparing meals

  • Managing money

  • Using transport

  • Participating in social or community activities

  • Maintaining safety at home

The FCA provides a snapshot of strengths, challenges, and support needs across a range of areas and makes recommendations to help the person live more independently and safely.

When is an FCA needed?

A functional capacity assessment is often requested when:

  • You’re applying for access to the NDIS

  • You’re going through a plan reassessment or review

  • You need to apply for Supported Independent Living (SIL) or Specialist Disability Accommodation (SDA)

  • Your circumstances have changed and you require additional support or funding

It can also help guide therapy goals and support planning, even outside of formal funding applications.

What’s included in the assessment?

When I complete a functional capacity assessment, I take a holistic and client-centred approach. This typically includes:

  • A thorough interview (with you, your family or support person)

  • Observations of your daily tasks (at home or in your preferred setting)

  • Reviewing any relevant medical or support documentation

  • Identifying current challenges and future goals

  • Clear recommendations for supports, services, equipment, or therapy

The final report is written in line with NDIS requirements and can be used to advocate for reasonable and necessary supports in your plan.
